This Refund, Deferral and Transfer Policy forms part of the Event Terms and Conditions and applies to all entries to Cape to Glen.
By entering the Event, participants agree to be bound by this Policy.
1. Entry Fees
Entry fees are paid to secure a place in a limited-capacity endurance event that requires significant advance planning, administration, staffing, logistics and supplier commitments.
For this reason, entry fees are subject to the terms set out below.
2. Refunds
No Refunds
All entry fees are strictly non-refundable.
No refund, whether full or partial, will be provided under any circumstances, including but not limited to:
- Injury;
- Illness;
- Changes in personal circumstances;
- Work commitments;
- Travel disruption;
- Failure to meet qualification requirements;
- Withdrawal from the Event for any reason.
This policy applies regardless of the date of withdrawal.
3. Deferrals
Standard Deferral
Participants who have paid their entry fee in full may request a deferral to the following year's Cape to Glen event.
Where a deferral is approved:
- The participant will receive a credit equal to 75% of the value of their fully paid entry fee.
- The credit may only be applied to the following year's edition of Cape to Glen.
- The remaining 25% of the original entry fee is retained to cover administration, planning and event costs already incurred.
- Any difference between the deferred credit and the future entry fee must be paid by the participant when they register for the future event.
Deferrals must be requested in writing via email before the date specified by the Organiser.
Deferrals have no cash value and cannot be exchanged for a refund.
The Organiser makes no promises that future events will take place and any deferred participants accept this as part of any approved deferral.
Limitation
A standard deferral may only be used once unless otherwise agreed by Cape Wrath Ltd.
Unused deferred places expire after the following year's event and cannot be carried forward again.
4. Pregnancy Deferral Policy
Cape Wrath Ltd recognises that pregnancy and childbirth may affect a participant's ability to take part in the Event. Participants who are unable to participate due to pregnancy may apply for a Pregnancy Deferral.
Upon receipt of reasonable supporting evidence, such as confirmation from a healthcare professional, Cape Wrath Ltd will grant:
- A 100% deferral of the participant's paid entry fee, and
- The ability to defer participation until a future edition of Cape to Glen when they are ready to participate.
Pregnancy Deferrals:
- Are not subject to the standard 75% credit rule.
- Are not restricted to the following year only.
- May be carried forward until the participant chooses to return.
- Cannot be exchanged for cash or a refund.
- Remain personal to the original entrant and cannot be transferred to another person.
Cape Wrath Ltd may request reasonable evidence in support of a Pregnancy Deferral application.
The Organiser makes no promises that future events will take place and any deferred participants accept this as part of any approved deferral.
5. Transfers
No Transfers Permitted
Entries are strictly personal to the registered participant.
Transfers of entries to another person are not permitted under any circumstances.
This includes:
- Selling an entry;
- Giving an entry to another participant;
- Informal arrangements between participants;
- Changes made without the written approval of Cape Wrath Ltd.
Any participant found to have transferred, sold or otherwise exchanged an entry may be disqualified and refused entry to future events.
6. Event Cancellation
If Cape to Glen is cancelled, postponed or materially altered due to circumstances beyond the reasonable control of Cape Wrath Ltd, including but not limited to:
- Severe weather;
- Natural disasters;
- Government restrictions;
- Public health emergencies;
- Land access issues;
- Force majeure events;
Cape Wrath Ltd reserves the right to determine an appropriate remedy, which may include:
- Deferral of entries;
- Partial credit towards a future event; or
- Alternative arrangements at its discretion.
Cape Wrath Ltd shall not be liable for travel, accommodation, equipment, insurance or any other costs incurred by participants.
7. Organiser Discretion
All decisions relating to refunds, deferrals and transfers are made by Cape Wrath Ltd in accordance with this Policy.
The Organiser reserves the right to make reasonable exceptions in exceptional circumstances where it considers it appropriate to do so.
The Organiser's decision shall be final.
